Please do not send sensitive personal information or full payment-card details through contact forms, email or WhatsApp.

We use information to respond to inquiries, prepare quotations, process orders, coordinate shipments, provide support, review claims and maintain necessary business records.

We also process information to meet legal obligations, protect our systems and prevent misuse.

Optional promotional communications and non-essential advertising tracking are handled separately from information needed to respond to your request or fulfil an order.

Processing relies on the applicable legal basis, including requested pre-contractual steps, contractual performance, legal obligations, consent or a legitimate interest where legally available and appropriately assessed.

Providing necessary quotation or order information enables us to deliver the requested service. Optional marketing consent is not required to contact us or purchase products.

4. Optional email and WhatsApp marketing

 

You may choose to receive product news and wholesale offers through a separate, optional checkbox.

Submitting an inquiry, reading this notice, accepting commercial terms or accepting cookies does not automatically subscribe you to email or WhatsApp marketing.

You may withdraw consent at any time through an available unsubscribe option or by contacting us.

Withdrawal does not affect processing lawfully carried out beforehand. We may retain a minimal suppression record to respect your choice.

Order confirmations, shipment updates and replies to your requests are service communications, not marketing subscriptions.

5. Cookies and Meta Pixel

 

Our website uses a cookie-consent banner to manage preferences for non-essential tracking.

Meta Pixel supports advertising measurement and related advertising functions, including understanding website interactions and creating advertising audiences. When permitted, it may transmit technical identifiers and interaction information to Meta.

Non-essential marketing and analytics technologies require consent where applicable. You can accept or reject them and revisit your preferences through the website’s privacy-settings control.

Essential technologies support necessary website functions. Information about detected services and their purposes is available in the consent settings.

Rejecting marketing cookies does not prevent you from contacting us or requesting a quotation.

Cookie consent is separate from consent to receive promotional emails or WhatsApp messages.

6. Providers and information sharing

 

We currently use Wix for website and form services, Google for business email, WhatsApp for communications, and Usercentrics for cookie-consent management.

Meta receives information associated with permitted Meta Pixel activity.

Information may also be shared, as necessary, with authorized staff, payment providers, logistics operators, customs representatives, insurers where applicable, professional advisers and competent authorities.

Recipients may act as service providers or independent controllers, depending on their role. Their own notices govern processing for which they are independently responsible.

We do not sell customer contact lists. Advertising-related information sharing is described separately in this notice.

If we introduce a CRM or materially change our processing, we will assess applicable requirements and update this notice. Updating this page alone does not authorize a new use that requires consent.

7. International processing

 

Technology and logistics providers may process information outside Ecuador.

International processing and transfers must follow applicable requirements, using appropriate safeguards or another legally permitted mechanism.

You may contact us for information about the arrangements applicable to your personal information.

8. Retention, deletion and anonymization

 

We retain personal information only while needed for its purpose, applicable legal obligations or the establishment, exercise or defence of claims.

Inquiry records are reviewed periodically. Information no longer needed for justified follow-up or another valid purpose is deleted or anonymized.

Invoices, proformas, order records and payment information may be retained for applicable accounting, tax, contractual or claims requirements. These records are not automatically retained indefinitely merely because they are held in an internal database.

Marketing information is retained while consent remains valid and the information remains necessary, subject to periodic review and withdrawal.

If you request deletion, we will remove information that no longer needs to be retained. Where a lawful retention exception applies, we will explain it and restrict use to the relevant purpose.

Backup copies are subject to their applicable retention and deletion cycles.

Subject to applicable law, you may request access, correction, updating, deletion, portability or restriction of your information, object to certain processing and withdraw consent.

Send requests to sales@ecuadorianpreservedroses.com. We may request proportionate information to verify your identity and will respond within applicable legal deadlines.

You may also complain to Ecuador’s Superintendencia de Protección de Datos Personales or another competent authority.

Our team reviews quotations and order decisions. Advertising platforms may use automated processing to measure events or organize audiences; relevant tracking preferences can be managed through the cookie controls.

10. Security and updates

 

We apply reasonable security measures appropriate to the information and risks involved. Access is limited according to authorized business needs.

No digital system is completely risk-free. This does not remove our data-protection or incident-response obligations.

We may update this notice as practices or legal requirements change. The revision date appears above. Where required, we will provide additional notice or obtain new consent.
